  1. PURPOSE

This policy is being established Policy and procedure on the access and appropriate use of IT equipment’s in COD.

  1. APPLICABILITY

This policy applies to all COD staff (faculty and non-faculty), residents, interns, students, employees, who are using computers in the College of Dentistry.

  1. POLICY
  • To access any computer, user must use their KSAU-HS username and password for log in. Sharing of your username or password to another user is strictly prohibited.
  • Use of any computer in the Auditorium, Classroom, PBL Room, Clinic, Simulation Lab, or Pre-Dental Lab is allowed for only for present presentation, project, research, or evidence based practice.
  • User, who reserve any room is responsible for any IT equipment damages and to report any damage to COD-IT as soon as possible, it happens.
  • Users are recommend not to save any data on any computer in the Auditorium, Classroom, PBL Room, Clinic, Simulation Lab, and Pre-Dental Lab. All the saved data will be automatically deleted on end of the same day. COD-IT is not responsible for any lost, stolen or deleted files.
  • COD-IT has the right to check, delete or report any saved files on any of the computer, which contains harmful materials and breach level of security.
  • Attempt to vandalize or to hack any computer is strictly prohibited and will be subject to disciplinary action.
  • COD-IT authorized staffs can install any needed software, only after getting an approval from IT Department Head.
  • Installation of any unauthorized software is strictly prohibited.
  • Users are not allowed to modify or delete any software on any of the computer.
  • Movement or relocation of IT equipment is strictly prohibited.
  • In case of malfunctions of IT equipment, users should not attempt to repair it. All malfunctions must be reported to the COD-IT.
  1. PROCEDURE
  • If any group / individual is in need to use IT equipment in any of the rooms for Academic, Clinical, or Research purposes, the form is given in APPENDIX – A, need to be filled out and submitted to COD-IT, after department approval.
  • If user needs to install any educational, clinical, research application / software, the form is given in APPENDIX – B, need to be filled out and submitted to COD-IT, after department approval.
  • If any IT equipment damage happens, user must report to COD-IT by filling the form that given in APPENDIX – C.
  • The form must be filled out with complete information and duly approved, otherwise form will be sent back to department.
